The short answer
The Business App suits a small team handling conversations directly. Consider the Business Platform when the journey needs programmatic messaging and connected backend actions. A custom application adds your own business logic and staff tools; WhatsApp can be one interface to it.
Begin with the simplest useful setup
If the main need is a business profile, product showcase and direct replies, review the Business App before commissioning a custom build. Document the work that still happens manually and the cost of mistakes. An automation project needs a specific job to improve, not just a desire to add AI.
Know what requires a backend
Checking live appointment availability, writing to a CRM and retrieving an authorised order require systems that can perform those actions. The Platform can provide the messaging layer, while a provider, orchestration tool or custom service connects the records. Flows can structure the customer interaction; they do not replace your database or permission model.
Compare providers on the complete journey
Ask how the setup handles staff inbox access, templates, message events, logs, retries and exports. Test one real integration and a failed action before committing. Check whether a feature is native, requires another subscription or needs custom code. If voice is part of the plan, evaluate voice-note media and live calling separately.
Understand the operating rules and costs
WhatsApp’s policy requires appropriate contact permission, approved templates for business-initiated messages and templates outside the customer service window. Provide a human escalation route. Platform pricing varies by market and message category; add provider fees, hosting, AI usage and maintenance to the estimate. Use current official pricing for the intended traffic rather than a universal per-message claim.
Your first implementation decision
Write one example: a customer chooses a service, the backend reserves a slot, the confirmation arrives and staff can change it. Compare the smallest setups that can do that reliably. Keep ownership of the business accounts clear and check migration requirements before moving an existing number. The best choice is the one your team can operate and afford at its expected volume.
